SearchInform menu SearchInform menu allows to access some of the most significant functions.
"Managers call" tool bar To show "Managers call" tool bar, you should select the "View - Show buttons toolbar" option from the main menu.
Tool bar The Search tool bar is located in the left part of the main window. It contains two tabs: "Phrase search" è "Similar Search". At default the first tab is open. Here the user can carry out phrasal text search. This is the standard kind of search, which is conducted by key words, entered into the Search field. Immediately before starting the search you can select one of the indexes mounted to the system. A broad range of settings is available for processing the search enquiery. Detailed overview is given in the corresponding paragraph. The second tab gives access to an absolutely novel unique kind of search - search for documents of similar content . Here you can enter some sample text from clipboard, which will serve as a basis for comparing and analysing all the documents from the active index to determine their similarity. The View menu "Show important words configuration" option allows to show the "Important words" tool bar (it is active in the picture). You will find a more detailed description of the search tool bar in the corresponding Help paragraphs. "Search results" tool bar The tool bar shows the list of documents conforming to the query. Scroll down to see how it looks. The Search Result is displayed in form of X/Y record, where X corresponds to the number of the currently selected document in the list of results and Y is the total number of documents in this list. The point is that in the tool bar the value is fixed that limits the number of documents shown in the result list. This means that if the limit is 1000 and the total of 1500 documents were found the list of results will display only the 1000 documents. Let's have a closer look at the fields that make up the lines in the list. The first field ¹ corresponds to the number of the document in the result list. The following field can be different depending on what kind of search has been carried out - phrasal or similarity of content. If phrasal search was carried out, then the title of the second column will be "Found words" and will reflect the number of concurrences in the text of the document with the phrase in the search line. Note that it is the number of concurrences with the phrase! that will be displayed if in the tool bar the "Phrase search" box is checked (the phrase will be regarded as a "cite"). If the "Phrase search" box is unchecked, then the application will try to find every word entered into the search line separately. In this case the "Found words" column will be displayed in form of X/Y. In this case X stands for the number of unique words from the search line in the found document. This value will therefore always equal the number of separate words in the search line if in the tool bar the option "All words must present in result" is enabled (every word in the search line must be present in the seek text). If the option is not selected, then x can lie within 0<X<="number of words in the search line". The value in this case reflects the number of words (!) in the document, which coincided with some of the words from the search query. When the similar content search is conducted, the second column is named "Relevance" and reflects correspondingly the relevancy of the found documents to the query in relative percentage (in other words, similarity or the degree of conforming to the search query). The "Result name" column reflects the full name of the file. "Size" indicates the size of the file. "Words count" indicates the total number of words in the found file. It should be mentioned that the application automatically displays the results sorted by relevancy, which means that the most relevant documents occupy the first lines of the result. To look through a document in an external application (when necessary) you can doubleclick the line, containing this document. In this case the file will be opened in the application, which is used for files of such format at default. There is also an opportunity to generate an HTML report on the search results. It will include all the same lines as the list of search results, and the full file name will be the hyperlink to this file, which will enable to activate it immediately from the browser when looking through the report file. If you wish to exclude certain files from the report, check the boxes opposite the line with the name of these files. Further after checking all the necessary boxes, select "Result functions" - "Generate report". Preview window Preview window is disignated for a cursory examination of the document's content, without opening it in the external application. This often saves a lot of time, as utilizing the preview helps to immediately determine whether the document is relevant or not. The convenience of using the preview window is also the automatic highlighting of the key words in the text. At default the highlighting is inactivate, but you can always activate it with the button The drop-down menu accessible by pressing the "View style" button allows to select one of the three modes to preview the documents.
